Almost every company has tasks that consume hours of their team's time every week: copying data from one system to another, downloading reports, or checking portals. These are repetitive processes with clear rules and little added value, making them the best candidates for automation.
Today, you don't need an RPA platform with expensive licenses to achieve this. The combination of n8n, which orchestrates workflows and connects systems, and Playwright, which controls a browser just as a person would, makes it possible to automate without licensing costs. Artificial intelligence can also be added for cases that don't follow the standard workflow. Here are five processes where we see the greatest value.
1. Invoice and document capture and validation
Invoices, contracts, and purchase orders arrive by email, through portals, or as PDFs, and someone has to read and enter them. With n8n, the document can be received automatically, its data extracted using OCR and AI, validated against your business rules, and registered in your ERP or accounting system.
The team only steps in when something doesn't match, such as an amount outside the expected range or an unregistered supplier. Everything else flows automatically, with every step recorded.
2. Reconciliations and recurring reports
Every week or month-end close, the same cycle is repeated: download information from several systems, cross-reference it in a spreadsheet, and prepare the report. It is work that is prone to errors and depends on someone remembering to do it.
n8n can schedule the process at the frequency you need, gather data from each source, cross-reference it, and send the report to the appropriate person. The data remains consistent and the result arrives on time, without manual effort.
3. Queries and data entry in web portals
Supplier, bank, government, or customer portals often do not offer an API. This is where Playwright works best: it logs in, navigates, checks statuses, downloads documents, or uploads information just like a person would, but without shifts or data-entry errors.
It becomes the key component when the process depends on a screen that you do not control.
4. Integration between systems that don't communicate
It is common for the CRM, ERP, billing platform, and internal spreadsheets to operate as isolated systems, with your team acting as the bridge between them. Every manual transfer is wasted time and an opportunity for error.
n8n connects applications, databases, and services through APIs, webhooks, and connectors, including legacy systems. This allows information to flow in real time without reprocessing, and ensures that every department works with the same data.
5. Alerts and exception tracking
An automated process doesn't always go as expected: an unreadable document, a duplicate invoice, or a stalled application. This is where artificial intelligence makes a difference compared to traditional RPA. An agent can detect unusual situations, classify the exception, and notify the right person with the context needed to resolve it quickly.
Automation stops being fragile and becomes capable of handling unexpected situations.
How to decide where to start
Not all processes have the same return. To prioritize, it is useful to evaluate them based on four criteria:
- Frequency and volume: the more often a process is repeated, the greater the savings.
- Clear rules: processes with well-defined criteria are easier to automate.
- Time currently consumed: the hours spent by your team are the best measure of impact.
- Systems involved: the more manual handoffs there are, the more value there is in integrating them.
Ideally, start with a high-impact process of moderate complexity, demonstrate results, and then scale.
What to expect from a first implementation
This architecture has no licensing costs, but it does require design, implementation, infrastructure, and, when AI is used, model consumption. The advantage is that you don't pay for each additional bot: adding processes and increasing volume does not increase the cost of the solution.
