About the Client

The organization needed to modernize its telephone collection processes and reduce the number of calls handled manually by its administrative team. Its objective was to scale payment recovery campaigns without requiring a proportional increase in operational staff.

The organization managed a significant volume of calls related to outstanding invoices, payment reminders, and overdue balances. These processes relied heavily on human agents, making it difficult to maintain consistent coverage, perform frequent follow-ups, and reach customers outside traditional business hours.
The main challenges included high collection campaign costs, a large volume of repetitive calls, limited follow-up capacity, manual processes for recording call outcomes, and limited ability to scale recovery campaigns.

Rootstack implemented Rootlenses Voice as a Voice AI platform capable of executing automated collection and payment follow-up campaigns. The solution integrated with billing and CRM systems through APIs, allowing the voice agent to retrieve relevant account information before each conversation and automatically record the outcome afterward.
The platform enabled campaigns to be segmented according to account aging, account type, outstanding balance, contact history, account status, and previous interaction outcomes. This allowed the organization to apply different communication strategies, schedules, contact frequencies, and scripts according to each account’s context instead of relying on a single approach for all customers.
The Voice AI agent automated use cases such as outstanding invoice reminders, invoice receipt confirmations, overdue balance follow-ups, payment intent identification, requests for additional information, and payment commitment follow-ups. When a customer indicated an intention to pay or required additional follow-up, the system could register the outcome through APIs and trigger the corresponding next steps in the collection workflow.
This automation reduced administrative work associated with call logging, status updates, contact classification, follow-up scheduling, and CRM updates. Rootlenses Voice also enabled scheduled outbound campaigns with multiple simultaneous calls, increasing follow-up capacity without requiring a proportional increase in the collections team.
The conversational architecture combined ASR to interpret customer speech, LLM technology to understand intent and manage conversational context, and TTS to generate spoken responses. This allowed the agent to adapt conversations based on customer responses rather than relying exclusively on rigid telephone decision trees.
Rootstack integrated the platform with account management, billing, and CRM systems through controlled APIs, allowing the agent to retrieve information, update contact statuses, record call outcomes, create follow-up tasks, and synchronize payment commitments without direct access to transactional databases.
Complex cases could be transferred to human representatives in real time when customers requested assistance, disputed an outstanding balance, required negotiation, fell outside configured business rules, or needed specialized attention. Monitoring and analytics also provided visibility into call volume, contact rates, payment intent, commitments, transfers, campaign outcomes, and completed follow-ups.
Implemented over 7 months through incremental deployment by collection segment, the solution provided 24/7 availability and automated approximately 60–70% of collection interactions. It delivered an estimated 40% reduction in cost per contact and 50% reduction in administrative work, while campaign coverage increased by an estimated 180% and simultaneous calling capacity increased by more than 200%. Real-time human handoff ensured that automation remained complemented by specialized support when required.
