Voice AI to Automate Appointment Scheduling and Patient Support

About the Client

A healthcare organization needed to reduce the workload of its contact center while increasing its capacity to manage patient calls related to medical appointments. Rootstack was selected for its ability to integrate Voice AI with existing enterprise systems and telephony platforms, enabling process automation without replacing the organization’s core technology infrastructure.
Rootstack provided an end-to-end Voice AI solution that connected conversational automation with the organization’s existing appointment management and CRM systems, allowing the healthcare provider to modernize patient interactions while preserving its existing technology ecosystem.
Challenge
The organization handled a high volume of patient calls related to scheduling and appointment management. Patients contacted the call center to schedule appointments, check availability, confirm visits, reschedule or cancel appointments, and obtain basic information about healthcare services.
This created several operational challenges, including long patient wait times, high workloads for contact center agents, limited availability outside business hours, a large volume of repetitive calls, and increasing operational costs. Appointment cancellations and available slots could also be difficult to manage quickly, affecting appointment utilization.
The challenge was to automate frequent patient interactions without compromising the patient experience, while maintaining the ability to transfer complex or specialized cases to human staff.
Our Solutions
Rootstack implemented Rootlenses Voice as an intelligent voice agent connected to the organization’s telephony infrastructure and appointment management systems. The solution automated inbound and outbound telephone interactions related to medical scheduling and allowed patients to communicate using natural language rather than relying exclusively on traditional phone menus.
The voice agent could interpret patient requests, identify the purpose of each interaction, retrieve appointment availability, perform authorized actions, and confirm the results. Through REST APIs, Rootlenses Voice connected securely with appointment management and CRM systems without requiring direct access to internal databases.
The solution automated key inbound use cases such as scheduling new appointments, checking availability, confirming visits, rescheduling, cancellations, appointment reminders, and frequently asked questions about healthcare services. Appointment workflows could identify the patient, determine the request, check availability, present options, capture the patient’s selection, execute the authorized transaction, and confirm the completed action through voice.
Rootstack also enabled automated outbound campaigns for appointment reminders and confirmations. These campaigns could contact patients to confirm attendance, process cancellations, identify patients who needed to reschedule, and conduct follow-up communications while handling multiple simultaneous calls.
The conversational architecture combined ASR for speech recognition, LLM technology for intent understanding and conversational context, and TTS for natural-sounding voice responses. Human agent handoff was available in real time whenever patients requested assistance, the request exceeded the AI agent’s scope, an exceptional situation occurred, or specialized support was required.
The solution also included interaction monitoring and analytics to track calls handled, call duration, appointments created or rescheduled, confirmations, cancellations, human transfers, and outbound campaign results, enabling continuous optimization of patient service workflows.
Implemented over 6 months, the solution achieved 24/7 availability and automated approximately 55–65% of first-level calls. It also generated an estimated 45% reduction in patient wait time and an estimated 40% reduction in contact center workload. More than 60% of appointment confirmations were automated, while outbound campaign coverage increased by an estimated 120%. These capabilities allowed the organization to expand automated patient service while preserving immediate access to human representatives when needed.
